Terms of Service

1. Agreement

These Terms of Service (“Terms”) govern access to and use of RoomBrief (“Service”), operated by RoomBrief (“we”, “us”, “our”).

By creating an account, linking a LINE group, or otherwise using the Service, you agree to these Terms and to our Privacy Policy. If you use the Service on behalf of an organization, you represent that you have authority to bind that organization.

2. Eligibility and accounts

You must be at least 18 years old (or the age of majority in your jurisdiction) and able to form a binding contract.

You are responsible for safeguarding your login credentials and for all activity under your account. Notify us promptly at [email protected] if you suspect unauthorized access.

  • Provide accurate registration information and keep it up to date.
  • Do not share accounts or allow unauthorized persons to access your workspace.
  • We may suspend or refuse registration if we reasonably believe information is false or the account poses a risk.

3. The Service

RoomBrief ingests messages from LINE groups you link, stores them in your workspace, generates AI summaries on your request or schedule, and may export results (for example CSV or Google Sheets).

Features, limits, and pricing depend on your plan and in-app settings. We may modify, add, or discontinue features with reasonable notice where practicable; material adverse changes to paid plans will be communicated in advance when required by law.

4. LINE bot and group linking

RoomBrief uses an official LINE bot (for example @roombrief). You link a group by generating a link code in the product app, or requesting one from an already linked room with #link-gen, then posting the authorized #link command in that group.

You must have permission to add the bot to the group and to allow message ingestion for your intended purpose (for example internal team use or with participants’ knowledge where required).

  • Only one organization may link a given LINE group at a time.
  • If the bot is removed from a group or the group becomes inactive, ingestion and summaries for that room may stop.
  • LINE media in chat may expire on LINE’s side; attachment storage in RoomBrief is subject to your plan quota and settings.

5. Shared summary links and LIFF verification

The Service may send summary links back to linked LINE chats. Opening those links may require LINE LIFF or LINE Login identity verification and chat membership checks.

You are responsible for sharing summary links only with intended participants and for informing participants when required by law or your internal policy.

  • Access may be blocked if membership verification fails, tokens expire, or suspicious access patterns are detected.
  • You must not attempt to bypass security checks, replay tokens, or distribute links outside approved contexts.

6. Your content and permissions

You retain ownership of messages and other content submitted to or through the Service (“Customer Content”). You grant us a limited license to host, process, transmit, and display Customer Content solely to provide and improve the Service (including AI summarization and exports you request).

You are solely responsible for Customer Content and for obtaining any consents or rights needed from group participants, employers, or clients under applicable law.

7. AI-generated output

Summaries and attachment descriptions are generated by third-party AI models you or your workspace select. Output may be incomplete, inaccurate, or unsuitable for your purpose.

AI output is not legal, financial, medical, or professional advice. You must review summaries before relying on them for decisions. We do not guarantee accuracy, completeness, or fitness for a particular use.

8. Plans, credits, and payment

Paid features are described on the Pricing page and in the product app. Plans may include recurring fees, included credits, limits on active LINE rooms, and attachment storage quotas.

Usage beyond included credits or add-ons may be charged at published rates in the app. Fees are generally non-refundable except where required by law or as described in our Business Policies at /policies.

  • You authorize us and our payment processors to charge applicable fees.
  • Failure to pay may result in suspension of summaries, exports, or the workspace.
  • Taxes, if any, are your responsibility unless we state otherwise.

9. Acceptable use

You agree not to misuse the Service. We may investigate and suspend or terminate access for violations.

  • Violate law, third-party rights, or LINE / Google / AI provider terms.
  • Upload malware, attempt unauthorized access, or interfere with the Service.
  • Use the Service to harass, defame, or distribute unlawful content.
  • Reverse engineer the Service except where permitted by law.
  • Resell or sublicense the Service without our written consent.
  • Circumvent usage limits, billing, or security controls.

10. Intellectual property

We own the Service, software, branding, and documentation, subject to third-party rights. These Terms do not grant you any rights to our trademarks except as needed to use the Service.

Feedback you provide may be used by us without obligation or compensation.

11. Third-party services

The Service integrates with LINE, Google (sign-in and Sheets), cloud infrastructure, and AI providers. Your use of those services is also subject to their terms and policies.

We are not responsible for third-party outages, policy changes, or acts. Links to third-party sites are provided for convenience only.

12. Privacy

Our Privacy Policy at /privacy explains how we collect and use personal data, including LINE and Google user data. By using the Service, you acknowledge that policy.

13. Suspension and termination

You may stop using the Service and request account or workspace deletion by contacting [email protected].

We may suspend or terminate access if you breach these Terms, if required by law, if payment fails, or if continued provision poses risk to us or others. Upon termination, your right to use the Service ends; we may delete or retain data as described in the Privacy Policy and applicable law.

14. Disclaimers and limitation of liability

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE AND OUR SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, DATA, OR GOODWILL, ARISING FROM THESE TERMS OR THE SERVICE.

OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF THESE TERMS OR THE SERVICE WILL NOT EXCEED THE GREATER OF (A) AMOUNTS YOU PAID US FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE CLAIM, OR (B) ONE HUNDRED US DOLLARS (USD 100).

Some jurisdictions do not allow certain limitations; in those cases, our liability is limited to the fullest extent permitted by law.

15. Indemnification

You will defend, indemnify, and hold harmless RoomBrief and its affiliates, officers, and employees from claims, damages, and expenses (including reasonable legal fees) arising from your Customer Content, your use of the Service, or your violation of these Terms or applicable law, except to the extent caused by our gross negligence or willful misconduct.

16. Governing law and disputes

These Terms are governed by the laws of Thailand, without regard to conflict-of-law rules.

Before filing a formal dispute, you agree to contact us at [email protected] to seek informal resolution. Courts in Bangkok, Thailand shall have exclusive jurisdiction over disputes that cannot be resolved informally, unless mandatory law in your country requires otherwise for consumers.

17. Changes to these Terms

We may update these Terms from time to time. We will post the revised Terms on this page and update the “Last updated” date. Material changes may be notified by email or in-app notice where appropriate. Continued use after the effective date constitutes acceptance.
